EURO-LABS: TransNational Access to the Heavy Ion Laboratory
Starting form 1st of September 2022 foreign research teams can be supported within the Horizon Europe Framework Programme (HORIZON) of the European Commission EURO-LABS – EUROpean Laboratories for Accelerator Based Sciences (Grant Agreement n° 101057511).
List of EURO-LABS TNA Nuclear Physics Laboratories.
This contract enables HIL to reimburse the travel and living expenses of researchers coming to carry out experiments.
Priority is given to new users and to young researchers.
Conditions
To be eligible, the visitor has to be a registered HIL user and the experiment must have the majority of the users working in a country other than Poland.
Access for user groups with a majority of users not working in a EU Member State or Horizon Europe associated country is limited to 20% of the total amount of units of access provided under the grant.
Procedure
The user groups must be selected by the User Selection Panel.
The decision of User Selection Panel is send to group leaders (spokespersons of the experiments) by e-mail.
The qualified User group leader (spokesperson of the experiment) should fill:
- the application form (Word, PDF) for transnational access;
- the information request form TA-application-data.xlsx with the data of ALL people in the research group;
and submit by e-mail to Katarzyna Hadyńska-Klęk: kasiah(at)slcj.uw.edu.pl.
Please make sure that ALL information is provided (including the birth year). If it’s not complete, your application form won’t be considered. You can also add the Polish members of the team if they are going to participate in the experiment, but make sure that the number of the foreign members is greater than 50%. Please make sure that the submitted table is final – there won’t be any possibility of making additional changes once it is forwarded it to the accountant’s office.
Additionally, within one month after the experiment, please submit the mandatory reports.
We grant users qualified to the TNA programme with:
- reimbursement of travel costs against the ticket (purchased solely by the University of Warsaw) and boarding passes. Please don’t book the flights for the EUROLABS users by yourself – we won’t be able to reimburse it to the user directly. The maximum ticket cost we reimburse is 1400 PLN (~300 EUR). In case your connection is more expensive, you should try to find another one, cheaper, or ask us to look for one for you via our travel agency. We cannot guarantee that it would be the most convenient one so we prefer the users to provide the travel plan;
- covering costs of accommodation up to 300 PLN (circa €65) per night on the basis of hotel bill;
- allowance in the amount of 200 PLN (approx. €45) for each day with overnight stay.
Please note that the splitting the accommodation and per-diem support is not allowed.
Important: the hotel reimbursement of up to 300 PLN (circa €65) per night will be accepted only in case of a lack of free hostel rooms so please make sure that your EUROLABS guests have priority at the guesthouse. Please make sure that all EUROLABS guests have rooms booked at HIL and, in case of limited guesthouse space, suggest the other participants to stay in the hotel instead.
It is mandatory for the EUROLABS users to register at the University of Warsaw as without it we cannot proceed with the ticket purchase and reimbursement. Additionally, all the other participants of the given project must also register at least one week before the experiment.
