Details of the TNA support and details of the application

​The n_TOF facility at CERN offers Transnational Access (TNA) support through the EURO-LABS project, funded by the European Union’s Horizon Europe Research and Innovation programme under Grant Agreement No. 101057511. This support aims to facilitate research by providing financial assistance to eligible user groups.​

Eligibility Criteria

  • User Group Composition: The group leader and the majority of users must be employed in a country other than where the facility is located. Exceptions apply to international organizations, ERICs, or similar entities.​
  • Non-EU Participation: User groups with a majority of users not working in an EU Member State or Horizon Europe associated country are eligible, with access limited to 20% of the total available units.​

Application Procedure

      1. Initial Contact: Reach out to the Facility Coordinator (FC) to discuss the project’s technical aspects, feasibility, and eligibility for EURO-LABS funding.​
      2. Application Submission: Complete and submit the following documents:​

    1. Project Description Form: A concise overview of the experiment, objectives, and the scientific background of the team.​
    2. Participant Information Spreadsheet: An Excel file detailing all group members and the level of funding requested. In the initial phase, fill in columns up to and including the “TNA Request.”​
    3. Ensure requests are reasonable, prioritizing students, young researchers, and promoting gender balance. Maintain the document’s structure without alterations.

      3. User Selection Panel Review: The FC will forward your application to the User Selection Panel (USP) for evaluation.​
      4. Outcome Notification: The FC will inform you of the USP’s decision and the proposed funding allocation. Address any concerns with the FC promptly, considering budget constraints.​
      5. Pre-Visit Documentation: Once beam time and travel details are finalized, update the Excel file with actual arrival and departure dates for all group members and return it to the FC. This should be done immediately after the beam time, and no later than two weeks post-experiment, to initiate reimbursement procedures. Delays beyond this period may result in forfeiture of reimbursement.​
      6. Post-Experiment Reporting: Submit a TA report summarizing the experiment’s objectives and achievements to the FC within two weeks of project completion.​
      7. Publications: Publish results in a journal, acknowledging the EURO-LABS project as follows:​

      “This project has received funding from the European Union’s Horizon Europe Research and Innovation programme under Grant Agreement No. 101057511 (EURO-LABS).”

Financial Support

  • Daily Travel Allowance (DTA): A lump sum of up to 145 CHF per night at CERN, subject to budget availability. For PS & SPS Test Beam users, the DTA is reduced to 80 CHF per night due to a high number of applications.​
  • Transport Expenses: Reimbursement for a return journey between the user’s place of residence or employment and CERN, adhering to the most cost-efficient and suitable means:​
    • Air Travel: Economy class or equivalent (including one piece of luggage). Premium Economy or higher classes are not reimbursed.​
    • Train Travel: First-class, sleeper, or couchette.​
    • Rental Car: Compact or economy category, reimbursed only if necessary and duly justified. Rental cars in the Geneva area are not reimbursed.​
    • Local Transport: Expenses between the airport/train station and CERN are reimbursed if each individual item exceeds 20 CHF.​
  • Transport cost ceilings are set at 400 CHF for continental and 1,250 CHF for transcontinental destinations. PS and SPS Test Beam TNA does not cover travel or transport costs.​

Reimbursement Procedure

  • Externals (Non-CERN Members): Organize and book travel independently, adhering to the specified guidelines. Submit scanned copies of receipts and tickets within six months following the return date for reimbursement. Payments are made via bank transfer in CHF; cash payments are not authorized.​
  • CERN Users (MPA): Follow standard CERN travel procedures.​
