Access procedures
Users coming to CERN from an outside institute to participate in an experiment have to register as a so-called “Unpaid Scientific Associate” (called “User”) via the CERN Users’ Office (building 61-R-020) here .
Users, who are registering for the first time, should start the registration procedure by using the on-line EDH Pre-Registration form which should be launched by the teamleader (https://usersoffice.web.cern.ch/tools-team-leaders-and-deputy-team-leaders). The status chosen should be “USER” and the registration “ISOLDE” as primary experiment in which you are involved (not the IS number of the experiment). All teamleaders and deputy teamleaders must ensure that their user registration and hence CERN computing accounts are always valid. If the User’s institute is new to ISOLDE and does not yet have a nominated teamleader, the ISOLDE User Support Office should be contacted.
The home institute declaration, which can be downloaded from here, should be attached to the Pre-Registration document as well as any other required documents. The home institute declaration must be signed by someone from your institute’s administration (HR) or management (institute Head or Director). The teamleader and deputy are not allowed to sign the home institute declaration. The minimum period of registration is one month, but a longer registration is encouraged to avoid having to register for each visit to CERN. The maximum period for a first registration is 3 years and after that it is 5 years. Once the Pre-Registration is accepted by the Users office, it will be possible to activate the User’s computer account (but not the EDH account). Once arrived at CERN, the User should go straight to the Users office to complete the registration. Once the registration is complete, the access card can be picked-up from building 33, the CERN reception building, and the EDH account can be used.
ISOLDE is classed as a “Simple Controlled Radiation Area” so while participating in an experiment a radiation dosimeter is required. After the competition of the USER registration, a Permanent dosimeter can be obtained from the CERN dosimeter service on the ground floor of building 33 (open Monday to Friday from 08:30 to 12:00). After the acceptation of the Pre-Registration by the Users office, the User will receive an email containing the information on how to apply for the CERN computing account to complete the necessary on-line safety courses before the arrival to CERN.
The CERN registration and “certificate attesting the suitability to work in CERN’s radiation areas” have to be kept up to date. If the registration has run out, a new registration (first visit registration) has to be performed.
All visitors should inform the Users’ Office of any change in their data, such as change of institute, of private address, personal status, or change of percentage of presence at CERN https://usersoffice.web.cern.ch/other-formalities
